JOB SUMMARY:

The Sr. Administrative Assistant is a key member of the Community Development team, providing administrative, financial, and program support to the Director and staff. This fast-paced position demands a highly organized and detail-oriented individual with exceptional communication, problem-solving, and interpersonal skills. 

Responsibilities

  • Prepare Commissioners Court documents, enter agenda items in OnBase, and attend briefings.
  • Draft and proofread correspondence, reports, and other documents.
  • Manage department schedules, calendars, and travel arrangements.
  • Process purchase orders, vendor payments, and reimbursements through county finance system (LAWSON and ONBASE) while reconciling accounts
  • Assist Director with contract preparation and coordination between the county and external entities.
  • Track and monitor budget expenditures and assist with preliminary budget preparation.
  • Process invoices and contractual grant payments for partnered nonprofits and cities.
  • Monitor, order and manage department supplies and equipment.
  • Update and maintain departmental website and materials.
  • Communicate effectively with internal and external stakeholders (public, nonprofits, other departments, elected officials).
  • Respond to inquiries and requests promptly and professionally.
  • Participate in activities and duties related to emergency management during local disasters.
  • Other duties as assigned.

Qualifications

  • Bachelor's or an Associate’s Degree in a related field preferred. Or High School Diploma with five years of relevant experience may be considered.
  • Excellent computer and data entry skills.
  • Knowledge of OnBase and Lawson preferred.
  • Knowledge of record-keeping procedures, spreadsheets, and word processing (proficient in Microsoft Office).
  • Excellent verbal and written communication skills.
  • Ability to complete projects on time, strong organizational skills, and accounting/bookkeeping preferred.
  • Strong verbal skills and ability to interact effectively with team members and the public.
  • Ability to manage deadlines, prioritize effectively, multitask, and maintain dependability.
  • Bilingual English/Spanish preferred.
  • Valid Texas Driver License.

 

SALARY RANGE: $19.71 - $24.63 hourly based on qualifications
